Manage Group

This process element allows you to manage Intrexx Share groups via a process.

Manage Group - Create Action

You can find the "Manage Group" action in "Processes" under the "Elements" section. It belongs to the "Actions - Intrexx Share" category. From there, it can be dragged and dropped into the desired location in the process chain and then configured. General information on creating process elements can be found here.

If you have created the "Manage Group" action on the workspace, open the Properties dialog by double-clicking the item.

A fixed group will be managed here.

Select an Intrexx Share group

Opens a dialog box where you can select a group from Intrexx Share.

Group from data field

The group can also be retrieved from a data field. To do this, the GUID of the Intrexx Share group must be entered in the data field. Select the data field from the drop-down list.

Group from System Value

Here, you can define a system value that returns the GUID of the Intrexx Share group.

Edit System Value

Opens a dialog box where the system value can be defined.

Promotion

Manage Members

This option gives you the following possibilities:

  • Replace Members

  • Keep existing members and add new ones

  • Remove all members

All of these options apply to all members of a group, except for the moderator. The moderator will always remain a member, regardless of the action you take using the "Manage Group" process element.

Manage Moderators

This option gives you the following choices:

  • Replace a moderator with exactly one moderator (compatible with Intrexx Share 1.0 and 1.1)

  • Replace moderators with any number of moderators (Intrexx Share 2.0 and later)

  • Keep existing moderators and add new ones (starting with Intrexx Share 2.0)

Starting with Intrexx Share 2.0, the moderator is assigned immediately; in older versions, the selected user receives an invitation that they must first accept before the moderator is changed. If the selected user is not yet a member of the group, they will be added to the group.

Close Group (Intrexx Share 2.0 and later)

This option closes groups. Feeds and comments cannot be captured for closed groups. Feed actions, such as "Like," are also disabled.

Delete Group

This option determines how the system behaves when a group is deleted.

Mark group as deleted

The group will remain intact and can be restored if necessary.

Delete Group Immediately

The group will be permanently deleted.

Click "Next."

Data Source

If you selected the "Replace members" or "Keep existing members, add new ones" option in the previous step, you can define the source of the member data here.

Static User

Here you will find a list of user objects that are currently listed as members of the group.

Add a User Object

Opens a dialog box where user objects can be selected.

Remove User Object

Deletes the currently selected user object from the list.

User from data field

Here, users can be dynamically retrieved from data fields that contain user GUIDs or IDs. Simply select the desired data field from the drop-down list.

Users from a data group query

Members may also come from other applications.

Application, Data Group, Data Field

Select the application, data group, and data field whose values you want to use. The data field must contain GUIDs or IDs of user objects.

Current User / Supervisor / Deputy

With this setting, the currently logged-in user is treated as a member of the group. Alternatively, the supervisor or deputy of the current user can be used.

System value

With this setting, a system value that provides the user GUIDs or IDs can be used.

Edit System Value

Opens a dialog box where the system value can be configured.

Host

If you selected the action "Replace moderators with exactly one moderator" in the previous step, you can define the source of the data for that moderator here.

Current User

This option adds the current user as a moderator.

Static User

This option designates a specific user as a moderator.

Opens a dialog box where a user can be selected.

User from data field

Here, users can be dynamically retrieved from data fields that contain user GUIDs or IDs. Select the desired data field from the drop-down list.

Supervisor / Deputy

With this setting, the currently logged-in user is designated as the group moderator. Alternatively, the current user's supervisor or deputy can be used.

System Value

With this setting, a system value that provides the user GUIDs or IDs can be used.

Opens a dialog box where the system value can be configured.

Moderators

If you selected the option "Replace moderators with any number of moderators" or "Keep current moderators and add new ones" in the previous step, you can define the source of the moderator data here.

Static Users

This option adds specific users as moderators.

Add a User Object

Opens a dialog box where users can be selected.

User from data field

Here, users can be dynamically retrieved from data fields that contain user GUIDs or IDs. Select the data field from the drop-down list.

Users from a data group query

Moderators can also come from other applications.

Application, Data Group, Data Field

Select the application, data group, and data field whose values you want to use. The data field must contain GUIDs or IDs of user objects.

Current User / Supervisor / Deputy

With this setting, the currently logged-in user is designated as the group moderator. Alternatively, the supervisor or deputy of the current user can be used.

With this setting, a system value that provides the user GUIDs or IDs can be used.

Click "OK" to complete the configuration.

Exception Handling

On this page, you can define how the system should respond in the event of an error.

To execute the action if the group is not found in Intrexx Share

An error is triggered if the current group does not exist in Intrexx Share.

To execute the action when the group module is hidden in Intrexx Share

You can show or hide the Groups module via the administration area in Intrexx Share. If the group module is hidden, an error is displayed.

To perform the action when a moderator does not have a profile in Intrexx Share

This option is available only if the "Manage Moderators" action was configured in the previous step. If the configured moderator does not have a profile in Intrexx Share, an error is triggered.

To run the action when Intrexx Share 1.0 or 1.1 is available in the portal

This option is available only if one of the following actions—which are available starting with Intrexx Share 2.0—was selected in the previous step:

  • Replace moderators with any number of moderators

  • Keep the current moderators and add new ones

  • Close Group

If any of these actions are configured, the portal must be running at least Intrexx Share 2.0. If the process is used in a portal with Share 1.0 or 1.1, an error is triggered.

Configure Exception Handling

Opens a dialog box where you can choose whether to cancel or continue the transaction.
