Manage group

With this process element, Intrexx share groups can be managed per process.

Manage group-Create action

The Manage group action can be found in processes in the "Elements" area. It belongs to the category "Actions - Intrexx Share". It can be dragged and dropped to the desired location in the process chain and then configured. General information about creating process items can be found here.

If you have created the Manage group action on the workspace, open the properties dialog by double-clicking on the element.

Static group

A specific group is managed with this option.

Select Intrexx Share group

Opens a dialog where a group can be selected from Intrexx Share.

Group from data field

The group can also be read from a data field. To do that, the Intrexx Share group's GUID needs to be stored in a data field. Select this field from the drop-down list.

Group from system value

A system value that provides the GUID of the Intrexx Share group can be defined here.

Edit system value

Opens a dialog where the system value can be defined.

Action

Manage members

You have the following options with this setting:

  • Replace member(s)

  • Keep previous members, add new ones

  • Remove all members

All of these options relate to the members of a group apart from the moderator. The moderator is always kept as a member, regardless of which action you perform using the process element "Manage a group".

Manage moderators

You have the following options with this setting:

  • Replace moderator with exactly one moderator (compatible with Intrexx Share 1.0 and 1.1)

  • Replace moderators by any number of moderators (from Intrexx Share 2.0)

  • Keep previous moderators, add new ones (from Intrexx Share 2.0)

From Intrexx Share 2.0, the moderator is set directly. In previous versions, the selected user received an invitation that they first had to accept to become the moderator. If the selected user still is not a member of the group, they will automatically be made one.

Close group (from Intrexx Share 2.0 on)

From Intrexx Share 2.0, groups can be closed. Feeds and comments cannot be made for closed groups. Feed actions, such as "liking", are also switched off.

Delete group

You can select the behavior for the deletion here.

Define as 'deleted'

The group is kept and can be restored if necessary.

Delete immediately

The group is deleted irrevocably.

Click "Next".

Data source

If you selected the "Replace members" or "Keep existing members, add new ones" action in the previous step, you can define the origin of the data for members here.

Static users

The list of user objects that are currently members of the group is shown here.

Select user

Opens a dialog, where user objects can be selected.

Remove user object

Deletes the currently selected user object.

Users from data field

Users can be read dynamically from data fields that contain user GUIDs or IDs here. Select the corresponding data field here.

User from data group query

Members can also come from other applications.

Application, Data group, Data field

Select the application, data group and data field whose values should be used. The same applies for this setting as well, the data field must contain the users' GUIDs and IDs.

Current user / Superior / Deputy

This setting means that the currently logged in user is seen as a member of the group. Equally, the Superior or Deputy of the current user can be used.

System value

With this setting, a system value can be defined that provides the user GUIDs or IDs.

Edit system value

Opens a dialog where the system value can be configured.

Moderator

If, in the previous step, you selected the option "Replace moderator by exactly one moderator", the data source for this moderator can be defined here.

Current user

The current user will be entered as the moderator with this option.

Static users

A specific user can be defined as the moderator here.

Select user

Opens a dialog where a user can be selected.

Users from data field

Users can be read dynamically from data fields that contain user GUIDs or IDs here. Select the corresponding data field here.

Supervisor / Deputy

This setting means that the currently logged in user is seen as the moderator of the group. Equally, the Superior or Deputy of the current user can be used.

System value

With this setting, a system value can be defined that provides the user GUIDs or IDs.

If, in the previous step, you selected the option "Replace moderator with any number of moderators" or "Keep previous moderators, add new ones", the data source for these moderators can be defined here.

Specific users can be defined as the moderators here.

User from data group query

Moderators can also come from other applications.

Select the application, data group and data field whose values should be used. The same applies for this setting as well, the data field must contain the users' GUIDs and IDs.

Click "OK" to complete the configuration.

Performing the action when the group is not found in Intrexx Share

An error is triggered if the current group cannot be found in Intrexx Share.

Performing the action when the Group module is hidden in Intrexx Share:

In the Administration area in Intrexx Share, the Groups module can be shown/hidden. If the Group module is hidden, an error will be outputted.

Performing the action when a moderator does not have an Intrexx Share profile

This option is only available, if the option "Manage moderators" was selected in the previous step. If the moderator selected does not have an Intrexx Share profile, an error will be outputted.

Performing the action when Intrexx Share 1.0 or 1.1 is used in the portal

This option is only visible when one of the following actions, which are available as of Share 2.0, was selected in the previous step:

  • Replace moderators with any number of moderators

  • Keep previous moderators, add new ones

  • Close group

If one of these actions is selected, at least version 2.0 of Intrexx Share is required. If the process is used in a portal with Share 1.0 or 1.1, an error is triggered.
