Create and Manage Processes
Processes can be created from scratch or based on templates or solutions. When you navigate to the "Processes" module in Portal Manager, the list of templates will load. You can also access the Process Manager via the main menu under "File / New Process. "
You can find all additional information here.
Create a process
When you create a new process, a wizard appears. Here, you can choose between two events that can trigger the process:
Event Triggered by a Record Change
If you select this option, the "Data Group Event Handler" process element will be created automatically after the wizard is completed. The process starts when records (e.g., an appointment) are added, modified, or deleted in the desired data group within an application (e.g., the Calendar app). The data group event handler can then be configured individually. For more information about the data group event handler, click here.
Time-Based Event
With this selection, the Properties dialog box for the "Global Timer" process element opens automatically after you finish the wizard, allowing you to configure the process element directly. The global timer will then be created automatically. The process then starts automatically at the time specified in the global timer configuration. The global timer can also be customized afterward. You can find more information about this process element here.
Do not show this wizard again
With this setting, the wizard will no longer appear when creating new processes.
Click "Next."
This section explains the steps that take place after you finish the wizard, based on the selection you made in the first step (Data Group Event Handler or Global Timer). Click "OK."
Next, you'll create the desired process elements, which you can link together to form a process chain. You can find all the information here.
Publish Process
Processes can be published via the main menu under "File / Publish Process." Publishing is the same as saving the process.
If a process contains external dependencies that cannot be resolved—for example, because a data group no longer exists in an application linked to the process—a corresponding message is displayed at this point. If you click "Continue," the affected process elements will be reported in the "Notes" section once the window opens.
Open a process with a user-defined attribute
You can create your own custom attributes in the Schema Manager. You can find all the information here.
Message when an attribute is missing
If a process that contains references to user-defined attributes is opened via "Local Files," a message is displayed if the user-defined attribute is not included in the target portal's user management.
Close this dialog box by clicking "OK." Then create the missing attributes in the Schema Manager. Then open the process again.
Attribute Mapping
If the open process contains user-defined attributes, you can map them to the user-defined attributes in the portal using the "
" arrow buttons.
