Document Action
Application pages can be used to create templates that can then be customized as desired, for example, using LibreOffice. The resulting documents can be populated with data from a record in an application and made available directly within the process as a PDF or an Office document.
Document generation, with its template feature, enables the transparent creation of reports using dynamic data applications—ideal for generating certificates, document templates, quotes, and much more.
The document action enables event-driven document generation. The newly created document can be saved directly with a record. To take advantage of this promotion, the following requirements must be met:

The desired view page must be enabled for document generation.

A template containing the information on how to format the text must be created.

A file data field in which the documents are stored must be available.

Create a Document Action
You can find the Document action in Processes under "Elements." It belongs to the "Promotions" category. From there, it can be dragged and dropped into the desired location in the process chain and then configured. General information on creating process elements can be found here.
Once you have created the document action on the workspace, double-click the element to open the Properties dialog box.
General
You can edit the title and description here.
Multilingualism
Opens a dialog box in each case where the title or description can be entered in multiple languages. You can find more information on this topic here.
Promotion
Add a record
Creates a document when a new record is created.
Edit Record
Creates a document when a record is modified.
Click "Next."
Target Data Group
Select the desired application and data group here.
Click "Next."

Select the template you want here.
Output Format
Select the desired output format here. The following are eligible for election:

Standard Server
This is specified in the portal properties and can be changed there.

Same as the original
The document is saved as an .ODT file.

PDF
Creates a PDF document.
Save document to
This is where you specify the data field in which the document will be saved.
File field
The currently selected file field is entered here.
Edit Options for the File Field
Opens a dialog box where you can edit the settings for saving files.

You can also find this dialog box in the properties of the "Data Group Action" process element.
Method
Replace files in the destination
With this setting, existing files will be overwritten by the new files.
Delete files in the destination field if there are no files in the source
This option appears when the previous option, "Replace files in the destination," is selected. This will delete existing files if no match is found in the source for the key used to compare the source and destination files. This setting is available only in the "Data Group Action," not in the Document Action.
Attach file to destination
With this setting, the existing files will be supplemented with the new ones.
Append new files at the beginning or end
With this setting, new files are appended to the beginning or end of the existing file.
Maximum number of files in the destination field
These settings are available when the dialog box is opened by a data group action using the " Modify Record " action. In addition, the maximum number of files per record must be limited in the destination file data field.
If the maximum number of files is exceeded, display an error message and cancel the transaction
With this setting, a message is displayed as soon as the maximum number of files is reached.
Limit the transaction to the maximum number of files
Files will continue to be attached only until the maximum number is reached. No additional files will be saved.
Additional restrictions on the target field
Here you will find information about additional restrictions on the destination field.
When using system values, please note that system values can be stored, for example, in the processing context, which specifies the method for saving files. In this case, the method selected in the dialog box is irrelevant.
Options cannot be edited in the dialog box if it is opened via a document action using the "Add Record" action. The dialog box appears to provide information about possible restrictions on the selected file field (allowed file types, maximum file size).
Click "OK" to save your changes and close the dialog box.
Key Mapping
If you have set the "Add Record" action in the general settings for the document action, you will find the Key Mapping section here.
Objective
The primary key of the target is displayed here. <Automatic Mapping> means that Intrexx has recognized the primary key of the target data group and automatically generates new IDs when documents are created.
Source
The data fields of the source data group are displayed here.
Move left / right
Establishes or removes a mapping between the fields selected in both lists.
Custom value
Opens a dialog box where a user-defined value can be created. Once it has been created, you will find the value in the list of source data fields.
Value from a query on a data group
Opens a dialog box in which a value from a data group query can be defined.
Edit
If a user-defined value is selected in the source list, a dialog box opens where the value can be edited. If a value from a data group query is selected, a dialog box opens where that value can be edited.
Remove
Removes the currently selected value from the list.
Click "OK" to complete the configuration of the document action.
