Create folder - set up read rights and read permissions

Step-by-step guide

To create a folder with read rights and read obligations, proceed as follows:

  1. Click on the icon on the left-hand side of the "Overview" page.

    The "Folder" dialog box is displayed.

    Title

    Enter a (preferably descriptive) title for the folder here. Titles are usually awarded according to subject. This allows you to sort the documents thematically in folders.

    Readers

    Specify here which users should have read access to the documents in this folder.

    You can select individual users, user groups, distribution lists, organizational units and roles. Select the desired participants and move them from left to right with the arrow button.

    Set read confirmation for

    Specify here which users must read documents in this folder or send a read confirmation.

    You can select individual users, user groups, distribution lists, organizational units and roles. Select the desired participants and move them from left to right with the arrow button.

    Please note that this relates to authorization at folder level. The "Approver" determines which specific document can or must be read in the order for each individual document. (See section Release documents.)

    Take over reader

    Click on this button to add the users you have defined as readers to the group of readers who must send a read confirmation.

    Description

    Enter a description for the folder that is as descriptive as possible.

  2. Click on "Save".

    The newly created folder is displayed.

Create folder in a folder

You can create any number of subfolders in a folder.

Please note the following: If you define read rights for a user, user groups etc. for a subfolder, you must also define these rights for the parent folder so that the user has access to the subfolder.

Delete folder

Folders in which subfolders have been created can only be deleted once all subfolders have been deleted.
