Groups

General

With groups, you can share content that is related to particular topics with other Intrexx Share users. Via the visibility options, you can specify precisely which users can see the group and its posts.

Create a group

Click on "Groups" in the Navigation portlet. This page will later display all the groups that are visible to you. You can restrict which groups are displayed in the middle area using filters. To create a group, select the "Create group" button at top left of the display.

Group name / Description

Here, you can provide the group with a name and description.

Group image

An image that represents the group can be added here.

Visibility

Intrexx Share differentiates between three different group types:

  • Public

    The group is visible to all Intrexx Share users. All posts written by group members are also visible to non-members of the group. Posting and commenting are reserved for group members.

  • Restricted

    The group is visible to all Intrexx Share users. The group content and posts can be viewed only by members.

  • Private

    The group is visible only to selected users.

Activate membership requests

Public groups provide non-members with the ability to apply for membership. For this, a corresponding button is displayed in the tile view of the groups. The group's moderator can confirm or deny the application. The group's moderator can add members to private groups. People who have received a recommendation for a private group, can join the group directly.

When you create a new group, you will automatically become one of the group's moderators.

Members can send recommendations

This setting gives members permission to recommend the group to other Share users. In this case, the corresponding buttons are displayed in the tile view of the group, allowing you to accept or decline the recommendation.

Users are allowed to create connections

Group members can integrate modules. The setting is activated by default when a new group is created.

Show group on News

You can activate this option to create a post in the News module that draws other users' attention to the new group.

"Groups" start page

The start page of the "Groups" module is a portlet with the title "Groups". Click here for general information about portlets.

At the top right here you will find the "Create group" button, which can be used to create a new group.

Filter

The list of existing groups can be narrowed down using the following filter buttons:

  • Mine
    Displays only the groups you have created

  • Recommendations
    Displays the groups that have been recommended

  • Other
    Displays the groups the current user is not yet a member of

Click on Show/Hide filter to save or reset the current filter setting.

Search field

To the left of the "Create group" button, you will find a search field that can be used to search for the group name, the creator and the description of the group. The list of groups will be filtered accordingly.

Views

Groups can be viewed by clicking on one of the following buttons:

Tile

This is the default view.

The group image is displayed on the left side of each group tile. To the right of this you can see the visibility status. Below it, the group name and the number of members are displayed.

Click on the group name or image to open the page that contains the groups posts.

In each tile, a button is displayed to the right of the number of members, which is labeled differently depending on the user's status, and functions differently in this respect.

If the current user is a member of the group, he can, if desired, end his membership by clicking on the "Member" button.

If the application process is activated for a group, the current user can apply for membership in the group by clicking on the "Apply" button and also write an explanation. The button label will be changed to "Applied!" until the moderator of the group has accepted or declined the application.

If the application process for a group is not activated, the current user can click on "Join" to become a member. The button label will then change to "Member".

If the group was recommended, you will find two buttons here. By clicking on "Accept recommendation" you will automatically be added as a member of the group. The "Member" button is then displayed instead of the two buttons. Clicking on "Decline recommendation" will display the "Apply" button and not make you a member.

If the current user is a moderator of a group, no button is displayed.

Lists

In the list, the group data is displayed in the columns "Title", "Last change", "Visible to", "Posts" and "Members". The sorting of the "Last change" column can be changed by clicking on the arrow button to the right of the column title.

Click on the group name or image to open the page that contains the groups posts.

Make a group a favorite

Groups can be favorited by clicking on the star button, which can be found in the upper right corner of each tile.

For favorited groups, the star button changes to a black filled star. Clicking on it resets the favorite.

In the navigation bar, an arrow button is displayed next to "Groups" as soon as groups are favorited. This button can be used to display the list of favorites and switch directly to the group details. Again, clicking the star button resets the favorites and removes the group from the favorites.

Group - Info and Content

If you click on a group image or the group name on the start page of the Groups module, you can switch to the group.

The page consists of two parts: The "Group - Info" portlet, which shows the group data, and the "Group - Content" portlet, which shows the content of the group, such as the posts. Click here for general information about portlets.

Group - Info

 

The group image is displayed here on the left. Clicking on it will update the content area. To the left you will find the most important group data: The visibility, the group name, the moderator of the group and the description. Additionally, you can also add the group to the favorites here.

Members

The number of group members is displayed here. Clicking on this button opens a page where the members can be managed.

Files

All files you add in posts are accessible by clicking the "Files" button here. Click here for more information about posts.

Create chat

You can start a chat with individual members or the whole group here. Click here for more information about this topic.

Options

Clicking on "Options" opens the "Options" menu if you have the corresponding permissions.

Edit

For groups you have created and for all groups that you moderate, the "Edit" menu can be selected here. Opens the page where the group data can be edited. Click here for more information.

Show posts on News

Here you can activate or deactivate whether group posts are displayed in the News module. Click on the button to the right to do that. When enabled, the button background is displayed in color. More information about this topic can be found here.

Notifications

You can activate or deactivate notifications here. Click on the button to the right to do that. When enabled, the button background is displayed in color. More information about this topic can be found here.

Group - Content

Posts can be added to the group and can also be commented on. Click here for more information about this topic.

In the content area you will find the "Create new connection" button at the top, which allows you to integrate other modules in the group. Click here for more information.

Close group

If you are editing an existing group, you will also find the "Close group" setting at the bottom of the edit page. This closes the group, which means that moderators and members of the group can no longer add posts or comments. Actions such as "Like", "Remind me" or "Share" will also be disabled.

Manage members

When a group is created, the creator of the group is also the moderator of the group.

The moderators of the group can access the member management on the "Group - Info" page.

Clicking on this button opens a page where additional members can be added to the group. Click here for more information.

Recommend group

Members and moderators can recommend the group if the moderator has made the corresponding setting while creating the group. Clicking the "Recommend group" button opens a page where the desired users can be selected. Click here for more information.

In the member list, you will find the user's profile picture on the left, which can be clicked on to display further user information that you permission to see. Also, the username and his/her status (moderator, member, recommended, applied) will be displayed in the list.

Options

The "Options" button in the right column of the member list can only be seen by moderators. Clicking on it will open a menu where you can designate members as moderators, but also remove members from the group.

There must always be at least one moderator in a group. The moderator cannot leave the group until another moderator is found.

Membership applications

In the lower part of the page you will find all users who are not yet members of the group and have applied for membership. This part of the page is visible only to group moderators. Clicking on "Select" will display the option to reject the application or accept the new member. If an application is rejected, the respective user will find the "Apply" button on the group page again. If the application is accepted, the applicant will automatically be added to the membership list as a member with the appropriate status.

Integrate modules

Groups can be used to create and view new or existing events, polls, projects, file folders and photo albums. To do this, click on "Create a new connection" on the "Group - Content" page.

Select the module you want to add here.

You have the possibility here to add an existing object, e.g. a project. Simply select the object in the drop-down list and then click on "Save connection".

You can also create a new object from here, e.g. a project. To do this, select the "Create new project" option. This option will then open the corresponding edit page, which you already know from the other modules. When you save them there, the new object will be added to the group. The new object is then also created in the corresponding module and can be accessed there as usual.

For each added element, a tab is generated in the group, which is used to display the relevant data and the most important editing options.

 

You can switch between tabs without leaving the group.

Who can integrate modules into groups?

Moderators can integrate modules into groups. Group members have the option to integrate modules if the "Members may create connections" setting is enabled in the group properties.

Which objects can be integrated?

Events

If you want to integrate an existing event, you can integrate events that...

  • the user is attending

  • the user is maybe attending

  • the user has created his/herself

Events are not available if.

  • the events are archived

  • the user is not attending the event.

The "Invite group members to the event" setting is only displayed if the user is the creator of the event. Clicking on "Save connection" will automatically invite the members. Click here for more information.

  • the user is a member

  • the user is a project leader

Projects are not available if...

  • the projects are archived

The setting "Invite group members to the poll" is only displayed if the user is the creator of the poll and the poll is visible to a restricted group of people. Click here for more information about polls.

Filebox

If an existing file folder is added to the group, you can choose the file folders that...

  • the user has created

  • have been released to the user

File folders are not available if...

  • the user has no permissions for the folder

The "Add group members to photo album" setting is only displayed if the user is the creator of the photo album and the photo album is visible to a restricted group of people. Click here for more information about photo albums.

Who is allowed to remove integrated modules?

Both moderators and the creator of the module integration may remove it again.

When the mouse makes contact with an integrated object, the "Delete connection" button is displayed for authorized users, which can be used to remove the integrated object again. The record will still exist and can be retrieved and edited in the corresponding module.

Notifications

The number of new posts from the groups you are a member of is displayed in the Navigation. This number will be hidden again as soon as the corresponding group is visited or the notifications are marked as read in the additional control "Share messages". In the group tile or the group list, the text "New posts" in red also indicates that there are new notifications.

Group plugin for News posts

New groups or posts in groups can be displayed in the "News" module.

 

You can subscribe to the groups via the filter in News Click on the "More applications" link on the page that follows to subscribe to the groups afterwards.

If a post from a group is commented in the News module, then the comments will also be displayed in this group and vice versa.
