Writing a protocol, confirming a protocol

Write protocol

When the date of the meeting has been reached or is passed, the moderator can write a protocol for each TOP.

The Plan agenda button is no longer available from this point onwards.

It has been replaced by the Write log button.

Step-by-step guide

To write a protocol for an agenda item, proceed as follows:

  1. Go to the "Internal" page.

  2. Click on the Write log button.

    The dialog for entering and editing TOPs is displayed.

  3. Click on the Pencil icon (Edit) of the agenda item for which you would like to write minutes.

    The "TOP Protocol" dialog box is displayed.

  4. Write the protocol.

    Markdown editor The editor for entering texts is a Markdown editor.

    Here are some key formatting tags:

    # Heading 1

    ## Heading 2

    ...

    ###### Heading 6

    The protocol can be released and confirmed only after you have written a text.

  5. click on SAVE.

    You re taken back to the dialog for entering and editing TOPs.

    The RELEASE PROTOCOL button is active ().

  6. Click on <BACK TO INTERNAL OVERVIEW ().

    You will return to the "Internal" page.

Edit protocol

A protocol can still be edited only as long as not all participants have confirmed the protocol yet.

Step-by-step guide

To edit a protocol for an agenda item, proceed as follows:

  1. Go to the "Internal" page.

  2. Click on the Write log button.

    The dialog for entering and editing TOPs is displayed.

  3. Click on the Pencil icon (Edit) of the agenda item for which you would like to edit a protocol.

    The "TOP Protocol" dialog box is displayed.

  4. Make the desired changes or additions and save your entries.

Release protocol

Step-by-step guide

To release a protocol for an agenda item, proceed as follows:

  1. Go to the "Internal" page.

  2. Click on the Write log button.

    The dialog for entering and editing TOPs is displayed.

  3. Click on the RELEASE PROTOCOL button.

  4. Confirm the release of the protocol in the subsequent dialog.

    You re taken back to the dialog for entering and editing TOPs.

    The button for releasing the protocol is no longer displayed.

  5. Click on <BACK TO INTERNAL OVERVIEW.

    You will return to the "Internal" page.

    The APPROVE button is displayed.

Agreeing to a protocol

All participants (not the guests) of a meeting must agree to the minutes so that the meeting can be "closed".

Click on the APPROVE button.

The text Agreed is then displayed.

The moderator can see how many confirmations there are.

As long as the APPROVE button is displayed (also for the moderator), approvals are still pending.

Once all participants have approved the protocol, the APPROVE button is no longer displayed.

The Log button is displayed instead.
