Administration

General

Intrexx administrators and Intrexx Share administrators have access to the "Administration" module, which can be reached by clicking on "Administration" in the navigation bar. The Navigation portlet is then shown in red. It stays this way until you click on "Administration" again or on Close to leave the administration mode.

In administration mode, you have access to the functions described below regardless of whether posts, groups, etc. have been released to you. The usual restrictions are overruled. In this mode, some of the less relevant portlets (such as Contacts, Photo albums, Advertisements, etc. on News) are hidden. Deactivated modules are shown but are grayed out in this mode.

News - Posts

Click on "News" in the Navigation portlet in administration mode. Intrexx administrators have access to all posts here. The application, data group and page permissions defined in the application apply to Intrexx Share administrators to prevent unauthorized access.

Options

Click on this button at the top right of each post to open a menu. Which menu items are shown depends on which functions are available in the module that the post comes from. In the top area of the menu, you have access to menu items based on the release of the post - as they would be available if you were not in administration mode. In the bottom area, you have access to the administration mode menu items.

Administration / Delete

This page provides all relevant information about the post, such as the type of post, which module the post is from, the positioning date, the edit date, as well as additional information such as release, deletion status and whether the post has been archived, meaning it is hidden. You also have the ability to delete the post immediately here.

Administration / Edit

Posts that do not come from a plugin, can be edited directly here. If you click on this button for posts from a plugin, the edit page defined in the plugin will open. For posts that do not come from a plugin, the menu item opens the corresponding page where the post can be edited, depending on which module the post comes from.

Administration / Restore

A post that has been marked for deletion can be restored here, provided the process for deleting the post has not been executed.

Groups

Every group created in Intrexx Share is listed here. Groups that have been deleted by users are marked accordingly in the "Deleted" column.

Click on "Select" to open the menu.

Edit

Opens the edit page where the group data can be edited.

Delete

Deletes the group.

Posts on News / Notifications

The corresponding notifications can be activated/deactivated here.

Restore group

Restores groups marked as deleted.

Click on the title of a group on the start page.

Clicking on the "Options" button, which can be found to the right of each post, opens a menu that can be used to edit the posts of the group in administration mode. Click here for more information.

Events

Every event created in Intrexx Share is listed here. Events that have been marked as deleted by users are also marked here in the "Deleted" column. Click on "Select" to open the menu.

Administration / Edit

Opens a page where the event data can be edited. There you will also find a second delete button, which allows you to delete the event with all posts, attendee lists, etc. immediately.

Hide posts on News

The posts created in the event will not be displayed in the News module.

Administration / Delete

Deletes the event and its posts, participant lists, etc. immediately.

Profiles

All profiles are listed here. Click on "Select" to open the menu.

In the top part of the menu, you have access to all menu items that you normally have access to for your own profile and other profiles when administration mode is switched off. Under "Administration", you will find an option to edit, deactivate or delete the profiles of other users and you can access the personal settings of the profile.

You can also access the settings in the Administration mode via the navigation bar. You will find the relevant menu items under "Administration".

General settings

Please check the entries that should be hidden in the visibility options

Here you can hide the "Everyone", "Private" and "Custom" settings for defining the recipients of new posts.

Misc

"Profiles may not be deleted?" hides this area on the users' profiles. Also, the Like, Reminder and Share actions can be disabled.

Allow user-defined sorting of navigation

With this setting, Intrexx Share users can change the sorting of the navigation in the browser.

Email settings (overall)

In Intrexx Share, users are sent notifications ആ about different events. For each type of notification, the users can define whether they also want receive an email by defining their individual email settings ആ in their profileആ.

In administration mode, the default settings for the user profiles are configured here. For each notification type, clicking the checkbox to the right of the notification type allows you to specify whether or not users are permitted to overwrite the default value (* Allow user modification).

The order in which a notification is checked during creation to see if an email should also be generated is as follows: The highest priority is given to the setting from the administration area.

If the setting "Allow user modification" is not set, the email dispatch is based on the default set in the administration area. If modification by the user is allowed, the profile of the user who is to receive the notification is automatically checked as to if and when an email should be sent.

Besides other standard texts, the subject of the notification can be changed in the portal properties, in the . Please note that changes in the language constants may not be update-safe and may also be overwritten during a software update.

Push notification settings (overall)

As with the email options, you can define the default settings for push notification settings for profiles.

Share administrator

You can define which Intrexx Share users have administration permissions in Intrexx Share.

You can select users who do not belong to the Intrexx administrators. To add an administrator, move the appropriate user from the "Select entries" column to the "Selected entries" column with the button. Share administration permissions are granted when you click on "Save".

Share administrators have access to the "Administration" area in the Navigation portlet and can administrate posts, groups, etc. The first Intrexx Share administrator can only be named by an Intrexx administrator. A Share administrator can remove themselves from the list if needed.

Read confirmation

You can configure which users are allowed to request a read confirmation for posts. Move the corresponding users from the "Select entries" column to the "Selected entries" column with the button.

Process-controlled deletion

The process "Intrexx Share Administration" is responsible for the automatic deletion of the following Intrexx Share objects:

  • Profiles

    24 hours after a profile has been marked as deleted

  • Groups including posts

    30 days after the group has been marked as deleted

  • Events including posts

    30 days after the event has been marked as deleted

  • Posts marked as deleted

    90 days after the post was deleted.

  • Archived posts

    90 days after the post was archived.

  • Read notifications

    depends on the profile setting. Default: 90 days

The time delay can be modified in the respective Groovy script (variable "delay"). This change, however, is not update-proof. United Planet assumes no responsibility for errors caused by changes made to the script. The deadline for the deletion of read notification can be modified on the profile.

The process is performed (default setting) daily at 00:19 in the portal's timezone.

Here, locked or deleted user accounts from the portal's User Manager are synchronized with the Intrexx Share profiles. Concerned Intrexx Share profiles will be deactivated.

If an Intrexx Share user deletes their profile, this will initially be marked as deleted. The process also automatically deletes profiles marked as deleted. Groups, events, and posts, which have been deleted by Intrexx Share users, will initially be marked as deleted. The process takes over the task of deletion including all posts that were created in the concerned group or event.

In the plugin settings, you can define the lifecycle and time management so that posts are archived under certain circumstances. These are then no longer visible among the current posts. These archived posts and also read notifications are also deleted by the process.
